Player Appearance Guidelines

Appearances are an essential part of the Houston Dynamo's community outreach efforts and provide the team the opportunity to positively impact the greater Houston area. The Houston Dynamo players, coaches and staff visit numerous local schools and organizations each year. If you are interested in having a member of the Dynamo make an appearance at your school or community event, please read and submit per the following guidelines.

Making a Request

The following request policy has been implemented as a way to create consistency and fairness to the organizations that ask for Houston Dynamo participation in area events. Due to the demands of travel and practice, the schedules of Houston Dynamo players and coaches are extremely limited.

Applying

All appearance requests must be submitted in writing to the Dynamo offices at least six weeks in advance of the event. No telephone calls or email requests will be accepted. If a publication deadline exists, please submit your request accordingly so that the Dynamo will be able to process this request with regards to appropriate deadlines.

Written requests must be submitted on organizational letterhead and include the following details in order for a request to be processed:

  1. Organization's name and full address
  2. Official name and nature of the event
  3. Day, Date and time of the event
  4. Event location
  5. Typed directions from Robertson Stadium (3874 Holman St, Houston 77004)- NO MAPQUEST DIRECTIONS
  6. Specific request (player, coaching staff, front office staff)
  7. Description of Houston Dynamo's involvement and the activity in which the individual will be involved
  8. Nature and size of group attending the event
  9. Publication deadline (if applicable)

Fees

Many civic organizations offer honorariums to players or offer to make donations to the charity. This also helps to secure a player in advance to your scheduled event. Paid business/promotional appearances can vary in length with most scheduled at 90 minutes. Paid business/promotional appearance fees are not set by the Dynamo. Associated with any appearance are fees that must be mutually agreed upon by the requester and the Dynamo.

Player Appearance Fees vary depending upon the player requested. These are an internally established rate. For these types of appearances, payment must be submitted one week following the appearance. Please make all checks out to Houston Dynamo.

Processing

Houston Dynamo will follow up in writing to all requests received. Please allow at least 3 weeks for processing. The Dynamo asks that telephone inquiries regarding appearance status not be made due to the high volume of requests received. All decisions regarding player appearances made by the Houston Dynamo are final

In order to ensure that the appearance goes well for everyone, here are a few guidelines to follow:

  • Player/coach involvement can vary in participation level. He/she may give a speech, demonstrate soccer skills, sign autographs, pose for photographs, lead a practice/clinic, read to children, etc. Please be specific with your request.
  • Due to the player/coach's busy schedule, we often cannot guarantee a specific player or coach.
  • Do not promote the Dynamo appearance at your event until it has been confirmed by the Dynamo Community Relations Department.
  • Make sure that all of the supplies necessary for the appearance are ready when the player/coach arrives (chairs, tables, etc.).
  • Announce the player/coach attendance before they arrive. This ensures that everyone interested in meeting him knows exactly when and where he will be. We will provide you with a short biography on the player/coach before the event, so you can adequately promote the appearance. The best appearances are those that fans are eagerly awaiting the arrival of the player/coach/mascot.
  • Because of time constraints, make sure your guests know that only one item can be autographed per person.
  • There must be a contact person from your organization with the Dynamo player and staff at all times. The contact's role is to ensure that the Dynamo's participation is properly facilitated and complications can be addressed immediately.
  • All players/coaches will be accompanied by a Dynamo Staff Member. This person is there to help the player/coach making the event as special as possible
  • The Dynamo reserve the right to cancel an appearance at any time due to player/coach/mascot/family conflicts, emergencies, illness, traveling conflict, etc.

Need an informative and entertaining speaker for your event? Oliver Luck, President and GM of Houston Dynamo, is available to speak at your event. He is a former quarterback for the Houston Oilers and spent 10 years working as an executive with the National Football League. In addition, Luck spent 5 years as CEO of the Harris County-Houston Sports Authority, the entity which financed and built Minute Maid Park, Reliant Stadium and Toyota Center.
